07. Pending tasks and completed tasks
Objective
Follow the requirements and processing steps of your files. It is crucial to note that these tasks are assigned by the institutions or your general agent; you cannot create them manually.
Step 1: Manage pending tasks (Action required)
Pending tasks (represented by the small bell icon) indicate either a necessary action on your part or a step that is being evaluated by the insurer.
- Access: Click on the bell icon to see the list.
- Organization: Tasks are grouped by financial institution.
- Note: They are not listed in chronological order.
- View: Click “View” to read the full details of the query.
- Click on the “customer file” icon to go directly to the complete file of the person concerned.
- Filtering: You can filter this list by specific customer to isolate requirements related to a single folder.
Step 2: View the history of completed tasks
The history (represented by the box icon with a notch) serves as a search engine to check what has already been completed.
- Access: Click on the box icon.
- Default View: The system automatically displays tasks completed in the last 30 days.
- Custom search: Use the filters to find specific information:
- By customer: Enter the first few letters of the name.
- By institution: Select a specific insurer (e.g., Equitable, IA Financial Group).
- By date range: Set an interval (e.g. from January 1st to today).
- Update: Click “Refresh List” to apply your filters.
Step 3: Detail Analysis and Follow-up
Regardless of the status of the task (pending or completed):
- View button: Allows you to understand the nature of the requirement (e.g., telephone interview, medical report received, etc.).
- Customer Record: Allows you to see all of the customer’s products and contracts to put the task in context.
⚠️ Points of vigilance
- Chronological order: Be aware that lists are not sorted by date by default. Always check the End Date or Creation Date column.
- Origin of tasks: If a task appears in “Pending”, it often means that the insurer is waiting for a document or action from you (or the client) to move the file forward.
💡 Practical tip: Get into the habit of emptying your “bell” (pending tasks) every morning. This is the best way to ensure that no proposal is blocked by a simple lack of administrative follow-up.
