04. GFS & AgenZ contracts signing

1. Foreword and Operational Prerequisites

As an advisor, the careful preparation of your digital environment is the guarantee of a frictionless compliance process. On Apexa, an interruption during the signing phase can lead to administrative delays or status errors. Validating your access and information upstream allows you to maintain the operational fluidity essential to the excellence of your professional practice.

  • Access and Authentication
    • Apexa Portal: Active login credentials and validated access to the “Contracts” section.
    • CSF Profile: Full access to the profile card for review.
  • Documents and Signatures
    • Morning Signings: Prior validation of the multiple choice options completed at the beginning of the day.
    • Important Note: No physical document upload (paper agreement) is required for this specific step of the GFS contract.
  • Critical Information
    • Bank Data: Up-to-date account details ready for final verification.
    • Freedom from misrepresentation: Mental review of recent changes in circumstances.

Validating these elements allows the following steps to be executed smoothly.

2. Detailed Signature and Validation Procedure

The strategic objective of this procedure is to ensure that the compliance profile is periodically updated and the related contracts are validated to ensure that the advisor’s professional status is maintained. This confirms that all information held by the general agent and the insurers is accurate and complies with regulatory requirements.

  1. Navigate to the main contract: Access the list of established contracts and select the initial GFS Finance contract.
  2. Review related contract: Open the related contract to confirm that there are no outstanding issues.
  3. Confirm profile update: Activate the electronic signature validating that the Apexa profile information is current, without attaching an external document.
  4. Identify third-party requirements: Return to the contract onboarding to identify agreements with “limited capacity for action” or specific requirements.
  5. Validate multiple-choice options: Confirm the assigned choices (morning revisions) by checking the revision acknowledgment of the sheet.
  6. Verify date compliance: Validate the accuracy of the system date and the absence of false declarations.
  7. Confirm and Submit: Activate the submit button. Note that this action validates the current status for administrators, even if the visual interface does not immediately change pages.
