09. Creating weekly commission statements

This procedure allows you to track the commissions related to investments in VieFund, for segregated funds (via Agenz) and mutual funds (via Sentinel).

1. Access to the remuneration module

  • Log in to your secure portal.
  • Go to the Operations menu (the third menu in the interface) and select the Commission submenu.
  • Click on the first row to access the different sections (Commission, Client Report, Administrative Report).

2. Consult your payroll history

  • Select the Pay History option to view past payments.
  • Set up the desired time period (for example, January 1 to today) to check the amounts received.
  • Optimize the display: Change the default value of the number of results per page to display all data on a single page. This makes it easier to navigate without having to change pages continuously.

3. Pay Cycle and Reference Periods

  • Frequency: Remuneration is paid every Friday.
  • Period covered: A Friday remittance typically includes transactions added to the system between the previous Friday and Thursday (the day before payroll).
  • Validation of dates: For a payroll received on Friday, July 31, transactions were collected up to and including Thursday, July 30.

4. Generation of the remuneration report (“Payable” component)

To produce a detailed report of the amounts owed to you, follow these steps:

  • Go to the Payable tab under the Commission menu.
  • Apply the necessary filters:
    • Representative Number: Useful if you have shared codes (splits).
    • Branch Office: Use if you manage multiple stakeholders.
    • Type: Select the “All” option. By default, the system can filter on referral bonuses, which would hide your regular commissions.
  • Enter the dates for the pay period.

5. Data analysis and export

  • Check the transaction details: The report displays the client’s name, account number, fund ID, gross amount, and commission rate of the institution.
  • Net commission calculation: At GFS, the standard net rate is 70% of the gross commission.
  • Export:
    • Click on the Excel icon to get a raw data file.
    • Click the PDF icon to generate a formal report.
  • Final Validation: See the bottom of the PDF report to see the total volume traded, the total gross commission and the final net amount received by the advisor.

6. Exception and error tracking

  • Pending transactions: Use the “Due” status filter to identify transactions that are processed by the system but not yet paid.
  • Checking for errors: Regularly check the “Error” filter to fix blocked folders.
  • Special periods: Note that during holiday periods (e.g. between December 26 and January 1), payment deadlines may vary.
