07. background & ID check
This process is mandatory to verify the absence of a criminal record before authorizing the signing of contracts with financial institutions. It applies both during the initial integration of the advisor and when adding a corporation.
1. Distinction of profiles and initiation of the application
- Location in APEXA: The background and credit history check is done exclusively in the individual profile of the advisor. The corporate profile only presents contract applications, the list of advisors and monitoring.
- Accessibility: Open the email sent by APEXA containing the unique access token and click on the link to the MyBackCheck platform.
- Context of the application: Note that the procedure distinguishes between the initial personal verification (upon hiring) and the second verification required when incorporating your firm.
2. Provision of contact details and declarations
- Login: Create an individual account or log in to MyBackCheck.
- Data validation: Carefully check your contact information for accuracy, enter any previous names and confirm your date of birth.
- Residence history: Enter your main address as well as all your addresses for the last five years.
- Optional information: Entering the Social Insurance Number (SIN) is optional, but it allows for faster processing.
- Judicial declaration: Complete the declaration confirming the absence of convictions and criminal records.
- Consent: Download, review and agree to the consent document applicable to your province before registering.
3. Identity Authentication
There are two methods available to confirm your identity:
- Option A – Digital Verification (Online):
- Answer any personal security questions generated by the system (e.g., last 4 digits of the SIN, previous addresses, financial institution issuing an account).
- Note: Select “None of the above” if the choices offered do not match any of your accounts.
- Option B – Physical Verification (Canada Post):
- If the online verification fails or is rejected, download and print the barcoded in-person authentication form .
- Go to the Canada Post counter with the printed document and two pieces of valid identification.
- The postal agent will scan the barcode and check your IDs in person to validate the case.
4. Receive the report and synchronize with APEXA
- Processing: Once the identity has been confirmed, the certificate attesting to the absence of a criminal record is issued in your MyBackCheck account.
- Automatic transmissions: There is no need to manually forward the report: the results are transmitted automatically and in real time to the APEXA platform.
- Final Validation: Log in to APEXA under the “Criminal Background Check” section to validate the effective update of your status.
- Next step: Once the status is updated, you can continue the integration of the corporation with GFS by signing contractual agreements with the institutions.
